Please note, the Smiles at Sea Inc. Event Tickets and the Royal Caribbean Cruise Stateroom are two separate entities. The deposit and cancellation policies are also separate. Please review carefully as this email provides very important information you will need to know prior to sailing.

HOTEL INFORMATION:

There are three ways that you can book your Hilton DoubleTree hotel reservations:Go to the private link, click the “Book A Room” button, then the “EDIT STAY” link on the right side to request the specific dates you are traveling to make a reservation.Go onto www.galleryone.doubletree.com and make a reservation through the main page. Once dates are entered, use the Reservation Group Code which is : SASCall the Reservations Hotline at 800-222-TREE (8733) and ask for the group rate under the SMILES AT SEA

SMILES AT SEA EVENT TICKET PAYMENT SCHEDULE & PAYMENT PLANS

There are payment plans available for Smiles at Sea. The date you make your reservation will ultimately determine your total deposit due at the time of booking and the subsequent payment dates. 

DEPOSIT ‍

$200 per person deposit is due at the time of booking. ‍

PAY IN FULL ‍

You may pay in full at the time of booking. No additional payments will be needed, unless you modify your reservation by upgrading/changing your reservation, event ticket, or by adding additional guests.

MONTHLY PAYMENT PLAN ‍

Payment plans. must be paid in full prior to 60 days from the sailing date.

$200 per person deposit is due at the time of booking.

Your remaining balance will be split into equal monthly payments beginning the 1st of the month after your initial deposit is paid, with the  final balance due no later than August 1, 2022.

Your monthly payment will be automatically charged to your credit card on file. If you need to make any changes to your payment plan dates, or credit card, please contact us at 877-438-9438 or email [email protected] prior to the first of each month.

DEPOSIT + 50/50 PAYMENT PLAN ‍

Payment plans must be paid in full prior to 60 days from the sailing date. 

$200 per person deposit is due at the time of booking for all interior and oceanview staterooms. $400 is due for single occupancy staterooms.$500 per person deposit is due at the time of booking for Suites. $1000 deposit is due for single-occupancy suites.  

Second payment due is: 50% of your remaining stateroom balance is due on or before May 20, 2022Final payment  due is: Full remaining stateroom balance is due from all guests with prior reservations on or before July 26, 2022

50% of your total stateroom balance is due at the time of booking for new reservations booked on or after May 20, 2002.

All new guest reservations made on or after September 4, 2022. All reservations made within 60 days from the departure date must be paid in full at the time of the reservation. We are unable to offer

payment plans within 60 days of sailing. Payment plans may be available. Please call our Captain Support Team at 877-438-9438 or email [email protected] to discuss payment options. ‍

Late Payments & Declined Credit Card Fees ‍ In the event of two non-consecutive/consecutive non-payments and/or declines during the installment period shall result in the full balance of the event ticket and cruise to be paid no later than 48 hours following the second non-payment.

Notwithstanding the terms and conditions for a payment installment option shall result in full cancellation that is subject to the refund policy. A late fee of $50.00 per person for monthly payment plan or $100.00 per person for 50/50 plan will be added to your reservation if your credit card on file is declined and your payment is not received by your due dates listed on your invoice.

Your reservation will be canceled without refund if you miss 3 or more consecutive payments, or if your reservation is still unpaid one (1) week after our final payment (whichever comes first). ‍THIRD PARTY CREDIT CARD PAYMENTS ‍We only accept third party credit card payments (from a person not attending the cruise) when a Third Party Credit Card Authorization Form is signed by the card holder. Please click here to complete and sign the third party credit card form. This form must be returned to us within 48 hours after your payment/deposit to avoid cancellation of your reservations.

Name Changes ‍

All guest NAME changes can be made up until 30 days prior to sailing (if allowed by the cruise line): The Lead Guest is not allowed to change their name within the reservation. At least one “original” and/or lead guest name must remain on the reservation. If all original guests cancel, this is considered a full cancellation without refund, and name changes will not be allowed. An original name is one that has been added to your reservation at the time of your initial deposit or payment.

You may do a name change for a spot in the room, at no cost, up until 30 days prior to sailing. There is a $200.00 per person, per change for name changes within 30 days of sailing (10/4/22)

Stateroom Changes

All guest STATEROOM changes can be made up until 30 days prior to sailing (if allowed by the cruise line) Last day to make changes: No changes of any kind (name or stateroom) will be accepted within two weeks of sailing. ‍

Stateroom Occupancy Changes ‍

Rates are based on the number of people in your stateroom. Changes in occupancy will result in a rate increase or decrease depending on the type of change. 

2020-2021 SMILES AT SEA INC. CANCELLATION POLICIES

Canceling your Smiles at Sea Cruise Stateroom: All cancellation requests must be submitted in writing. Please email [email protected] to cancel your reservations.  Royal Caribbean’s normal cruise cancellation terms do not apply.

ALL DEPOSITS AND CRUISE PAYMENTS ARE NON-REFUNDABLE!

There are NO exceptions to our cancellation policies. We strongly recommend the purchase of travel insurance! If the cruise is canceled by us, you will be entitled to receive an alternative sailing. Any future cruise credit will expire in one year from the date received. If you need to make any other arrangements for your credit, please contact Captain Support and they will review your reservation and requests on a case by case basis.

Smiles at Sea Event Ticket Cancellation Policy *Please note, the cruise reservation is a separate entity from the Smiles at Sea Inc. event ticket. A non-refundable deposit of $40 will be applied per person after 60 days of purchasing event ticket(s). 

If the event ticket(s) is purchased within 60 days of the sailing date, the non-refundable deposit of $40 will automatically be applied per person.You are eligible for an event ticket refund 60 days prior to the sailing date. You are eligible for an event ticket credit 59 days prior to the sailing date. 

Cancellation requests and refunds may take up to 60 days to process. Group reservations of 10 or more may take up to 60-90 days to process.   

TRAVEL GUARD TRAVEL INSURANCE ‍

Because of the nature and uniqueness of this event, we have strict cancellation policies. Smiles at Sea Inc and Whet Travel Inc. highly recommend the purchase of travel insurance to protect you against financial loss due non-refundable costs and fees due to unexpected cancellations and travel emergencies.

Travel insurance also protects you against emergencies while traveling, such as trip interruption, trip delay, missed/canceled flights, lost or stolen baggage/personal items, illness/injury and much more. Smiles at Sea Inc., Whet Travel Inc., and Travel Guard also offer an additional Cancel for Any Reason policy that must be purchased with your initial payment or deposit.  If you have to cancel for a non-covered reason, the Cancel for Any Reason option will reimburse you 50% of your non-refundable costs (covered reasons only, will receive a 100% refund, as determined by the travel insurance company).

In the event of cancellation, you must first contact Whet Travel Inc., in writing by sending an email to [email protected].  Then, you must contact the Travel Guard directly to submit a claim and request a refund.

PASSPORT & LEGAL DOCUMENTATION ‍

Smiles at Sea Inc. Inc. and Whet Travel Inc., strongly recommends that all of our guests travel with a passport (valid for at least six months beyond the completion of travel).

Having a valid passport will enable you to fly from the U.S. to a foreign port in the event you miss your scheduled embarkation, or to fly back to the U.S. should you need to disembark the ship mid-cruise for any reason.

The Western Hemisphere Travel Initiative (WHTI) stipulates the following information with regards to "closed-loop" [https://help.cbp.gov/app/answers/detail/a_id/1139] cruises, which are sailings that originate and terminate in the same U.S. Port. Please note that this information could change at any time without notice.

U.S. Citizens (including children) taking "closed-loop" cruises will be able to enter or depart the country with either a valid U.S. Passport - or - Proof of citizenship, such as an original or certified copy of his or her birth certificate (or a Consular report of Birth Abroad, or a Certificate of Naturalization), along with a government issued photo identification, such as a State issued driver’s license.

Trusted Traveler Cards (NEXUS, SENTRI, or FAST)

Military Identification Cards (for members of the U.S. armed forces on official orders)

Please note: Baptismal papers, hospital certificates of birth, voter registration cards or Social Security cards are not considered proof of citizenship, and will not be accepted.

U.S. Alien Residents

need a valid Alien Resident Card. Non-U.S. citizens need a valid passport and a valid, unexpired U.S. Multiple Re-entry Visa, if applicable.   ‍

Non-U.S. Citizens: You will need a valid passport and, in some cases, a visa. If you live in the U.S., you will also need the original copy of your Alien Registration Card (ARC or “Green Card”) and any other documentation the countries on your itinerary require due to your alien status.If you are not a U.S. Citizen, please contact U.S. Immigrations at 1-800-375-5283 to be sure your identification will be satisfactory for both entry into the U.S., and for the cruise.

Citizens from the Visa Waiver Program countries will require a machine-readable passport valid for the duration of their voyage. All guests must present the required documentation at embarkation. Guests without the required documentation will be denied boarding and no refund will be issued. Please understand that the Royal Caribbean cruise line will strictly enforce this requirement to be in compliance with this important U.S. Government mandate. ‍

Non-U.S. citizens, including resident aliens, must contact the appropriate consulates, embassies and/or immigration office(s) to inquire about necessary documentation for the cruise’s ports of call. Your name, as listed on your travel documents, must exactly match your name as listed on your Cruise documents. ‍

It is YOUR responsibility to make sure you have the proper documents to board the ship. Smiles at Sea Inc. Inc and Whet Travel, Inc. are not responsible for denied boarding due to insufficient documents.

Bedding Requests ‍

If the beds are not set up the way you want them to be, please ask your stateroom steward to change it for you. If you cannot find your stateroom steward on the first day onboard, you can leave a note for them in your stateroom. They will accommodate your request. Smiles at Sea Inc. Inc. does not take requests for bedding type.  

ZERO TOLERANCE POLICY

Royal Caribbean Cruise Line does not allow illegal drugs of ANY KIND to be brought onboard the vessel. Passengers who are found with such illegal substances will not be allowed to board or will be disembarked at the next port of call. Royal Caribbean Cruise Line does not permit nudity in any of the vessel’s public venues and enforces its dress code. Audio equipment used for personal entertainment may be brought on board but cannot be played at levels disruptive to other guests. Violation of this policy will result in confiscation of the equipment.   ‍

Royal Caribbean Cruise Line Smoking Policy

For the comfort and enjoyment of our guests, our ships are designated as non-smoking; however, we recognize that some of our guests do smoke. Therefore, to provide an onboard environment that also satisfies smokers, we have designated certain areas of the ship as smoking areas. ‍Important CE Course Information:

It is important to note that a unique email address is required for each attendee. Without a unique email address, CE certificates cannot be delivered. Smiles at Sea Inc., Inc reserves all rights and reservations for the continuing education course. We also reserve the right to change/modify the CE schedule at any time to make the event even more enjoyable for our guests. Attendees must be on time and present for all hours in order to successfully complete the course and to be eligible for all credits. All attendees must follow the scanning in process in order to receive CE credits. Attendees should limit their alcohol consumption prior to the classes. ‍
