Three Sentence Rule for Successful Email Networking

As an aid to new authors and entrepreneurs looking to connect strategically with potential clients and influencers, I suggest the 3-sentence rule as an approach. This strategy has proven successful at creating new business relations, earning referrals and landing book endorsements.

Riz Clrgley will serve as an example to demonstrate this rule.

When greeting, do not use “Dear”. For grandparent-level greetings, use instead: “Ms. Clargley”, “Riz”, or even just “Riz”. Feel free to add “Hello, Hi”, “Hi”, and/or “Hello”. It is essential to establish rapport confidently while still remaining true to yourself

Explain in one sentence why you are interrupting her and this sentence should include all of the following points.

  • **Relevance**: Explain why she should care about your email. Mention shared connections such as hometown or university without coming off too aggressive or stalkerish.

  • **Familiarity**: Demonstrate that you understand her work and appreciate it by saying something like “I really enjoyed your blog post and have some questions related to it.

Sentence 1: Who? What?

Introduce yourself and why she should care. Answer any implicit queries such as, “Who are they and why am I interested?” When communicating your value without bragging: say things such as, “My team often asks me similar…” questions.” This shows your leadership qualities without disclosing details like company or title names.

Sentence Two: What

Explain clearly and politely what you desire of her by being direct. Rather than asking for vague phone calls on Monday between 2 and 3 pm, perhaps asking “Is it good idea for us to have an 8-minute discussion at that time?” will show respect while also simplifying her answer.

How to Craft the Subject Line

Start off your conversation right from the beginning

Use subject lines that are tailored specifically to the recipient. For instance, “Quick Question Regarding Your Leadership Article” or “Recommendation from Our Mutual Friend Landy”, instead of generic lines such as “Question or Connecting”.

Additional Tips WARNING – **No Postscript* If you are writing sales copy, do not include a postscript.

Reduce “I”. Confidence* – Demonstrate confidence through humor and direct writing, while avoiding self-deprecation

Utilize an email that contains your company domain.

  • **Brievity**: Be considerate of your recipients by sending brief emails.

  • **Readable Format**: For an easier reading experience, include large spaces between sentences and blank lines to make reading the material simpler.

Make sure that you conduct sufficient research and ensure you have access to the correct email address. If you are unable to locate it, reach out directly to their assistant for help.

Your email has just seconds to engage the reader, so make it engaging, clear and direct.
