The Ultimate Learning Tech Pre-Purchase Checklist

Selecting a new learning technology—be it an all-powerful Learning Management System (LMS) or that slick new microlearning app—is like choosing a co-pilot for your learning and development mission. It's a significant investment that affects your budget, your team's sanity, and most importantly, whether your learners actually learn anything.

We've all been there: dazzled by a fancy demo, only to realize later the system can't talk to your HR platform, or it takes 47 clicks to upload a single course. Rushing this decision often leads to buyer's remorse, costly platform migrations, or worse—a tool gathering digital dust.

Before you get wooed by vendor promises and glossy brochures, you need to get your internal ducks in a row. This isn't just a technical exercise; it's a strategic one.

Your Mission: The Learning Technology Selection Checklist

Having these answers ready turns awkward vendor calls into efficient, productive conversations. Think of this as your secret weapon!

Step 1: Know Your Learners

This is about understanding the core problem you're trying to solve. Don't buy a Ferrari when you only need a skateboard.

  • Who is the crowd? How many active users are we talking about? Are they digital natives glued to their mobile devices, or do they prefer a traditional desktop experience? Define your number and your audience's tech vibe.

  • What's the big, hairy problem? Are you trying to check the box on mandated compliance training, or are you trying to close a critical skill gap that's costing the company money? Be specific about the business outcome.

  • What's in the content kitchen? Will you be serving up quick videos, interactive SCORM packages, live virtual workshops, or hefty PDF documents? The platform must be able to host and serve your menu of content.

  • How will the learning happen? Is your plan fully remote, a blended mix of classroom and digital, or strictly self-paced? Make sure the tech matches your delivery model.

Step 2: Get Technical

If your new tech can't talk to your existing systems, you've just created two separate silos of confusion. Integration is key!

  • The HRIS Hookup: Does the new system need to automatically sync user data (new hires, job roles, etc.) with your existing Human Resources Information System?

  • The Single Sign-On (SSO) Simplification: Do your people need one easy login (SSO) to access everything? Define the required standard (e.g., SAML, OAuth, OpenID) so IT doesn't have a meltdown.

  • The Data Debate: You need proof that learning is working. Does the system need to support modern learning data standards like xAPI for advanced reporting? Define the learning analytics you need to capture.

  • Content Migration Magic: Can you easily move your existing learning assets into the new platform? Document the quantity and format of content for migration.

Step 3: Budget, Time, and Approval Power

Let's talk dollars and dates. Surprises here are never fun.

  • The Wallet Limit: What is the absolute maximum budget allocated for year one (licensing, implementation, and training)? Write down that number!

  • The Pricing Puzzle: Do you prefer to pay per active user, or do you need a flat, tiered fee for unlimited users? Get clear on your preferred payment structure.

  • The Finish Line: What is your critical go-live target date? Mark it down.

  • The Approval Squad: Identify every key decision-maker who needs to sign off. Include IT, Learning & Development, and Finance: Person, Person, and Person.

Step 4: Support & Future-Proofing

The sale is over, but the relationship has just begun. Make sure they've got your back.

  • Help! I need somebody! Does the provider offer 24/7 support, or are they only available during business hours in a time zone 12 hours different from yours?

  • The Uptime Promise: What are their guaranteed Service Level Agreements (SLAs) for system uptime and critical issue response time? Don't skip this detail.

  • Training & Documentation: Is administrator training and user-facing documentation included? Ensure you have the resources to run the system smoothly.

  • What's Next? How often do they release new features, and do you have to pay extra for major version updates? You don't want a system that's frozen in time.

You Need a Navigator, Not Just a Map.

This checklist is powerful, but navigating the vendor landscape is another challenge entirely. You’re evaluating dozens of technologies, deciphering complex pricing models, and trying to predict which system will scale with your growth—all while keeping the lights on.
