  • Translated those into clear business and technical requirements

These requirements became the foundation of a targeted RFP—designed around real scenarios, not generic feature lists.

Instead of sitting through more demos, vendors were asked to demonstrate how their platform would enable these specific experiences.

This changed the dynamic entirely—from passive evaluation to active partnership.


The Outcome

The organization moved from overwhelm to alignment.

They quickly narrowed their options to three strong LMS platforms that met both current and future needs.

More importantly:

  • Stakeholders aligned around a shared vision

  • Decision-making became faster and more confident

  • The team shifted from reactive evaluation to strategic selection

Operationally, the impact was clear:

  • The team identified that 25% of their time had been spent on manual tasks that modern platforms could automate
